How the Recover Deleted Items Functionality?in Outlook 2007 Makes Life Easier

Posted in on 14.02.11

Many of us delete items like email messages, appointments, tasks, old contacts names and other details from our working Outlook folder when we are working with our mailboxes on Microsoft Exchange Server, once we are sure we do not need them. However, when we delete these items, they are not deleted permanently but simply transferred to the 'Deleted Items' folder. After a while, when you are absolutely sure that you are not going to be requiring any of the deleted items, do you permanently delete them.

The concern of constantly storing deleted items in the 'Deleted Items' folder is that we do not generally worry about the number of items being stored in the folder or about the size of the folder. Since the items in the folder are not important to our day-to-day working, we tend to allow the folder to continue growing in size. This can not only affect the performance of Outlook but could cause damage to the Outlook PST file requiring immediate outlook repair.

Many Outlook users employ one method to avoid this complication of the 'Deleted Items' folder growing disproportionately large. They change Outlook settings so that the items are hard deleted from Outlook. In other words, the deleted items are not moved to the 'Deleted Items' folder but instead are permanently deleted. This of course, saves you the trouble of first deleting the items and then remembering to permanently delete them from the 'Deleted Items' folder. On the other hand, when you first move the items to the 'Deleted Items' folder, you still a chance of recovering any deleted item by simply moving it from the 'Deleted Items' folder back to the original folder it was in. This can of great help when you accidentally delete important items from your Outlook folders. Hard deleting makes it that much tougher to recover your deleted items though you can avoid the possibility of needing outlook repair.

This is where the Recover Deleted Items functionality can come in handy. Typically only the 'Deleted Items' folder is enabled with this functionality implying that items that have been deleted from this folder can be recovered. However, if the mailbox you are working with on the Microsoft Exchange Server is configured to keep deleted items, then you should be able to enable this functionality even on other folders such as Inbox, Outbox, Sent Items and Drafts. For this, you will need to make some changes to the registry. It is important that you be extra careful while making changes to the registry since there could be serious problems in Outlook if you modify the registry incorrectly and you may have to carry out an outlook repair. Outlook 2007 comes pre-equipped with the 'Recover Deleted Items' menu.

If you have hard deleted items before you enabled the 'Recover Deleted Items' functionality or find that you cannot recover items even with the help of Item recovery, you may have to use previous backups to restore the item or a third-party tool such as Advanced outlook repair from DataNumen to recover Outlook PST data.
