It is your first day at work and you are looking forward to receiving your new assignments. However, the very first thing you get is an Exchange server address and you are told to set up Outlook so that you can start accessing your mails from the mailbox set up on the server. Since you have never used Outlook with Exchange server before, you are unsure about where to begin. Here are some helpful tips that will help you not just set up Outlook with Exchange server but also make full use of some of it's powerful features. By using these tips, you will be able to communicate more quickly and by using the offline storage facility, store and recover exchange data easily.
1. Make sure that you have Outlook installed on the machine assigned to you. You should also have the Exchange server address given to you handy. You should now be able to proceed with the setting up part without any problem.
2. Open Outlook - you will be asked if you would like to set up a new account. Click on yes and choose Microsoft Exchange server in the service option.
3. You will now be asked to enter the address of the Exchange mail server and you can also decide if you would like to work in the 'Cached Exchange Mode'. This mode will allow you to work with a local copy of all your mails stored on your machine. If there are any problems in the network and your connection fails suddenly, you could still continue working on the local copy of your mails. When you are able to go online the next time, this mode will enable automatic synchronization between the offline copy and the mailbox keeping them both updated. This local copy is also helpful if you ever need to recover exchange data that has been lost because the mailbox from the server has been removed or accidentally deleted.
4. Once you have finished setting up Outlook, you can open Outlook and as a new user, there will be only one mail welcoming you. However, you are now in a position to start sending and receiving mails. As mentioned before, with the help of the Cached Exchange Mode, you can choose to work with your mails and other items by going offline so that you can work without the fear of any interruptions, caused either by a failure in the network or due to slow connections.
5. Another way of setting up your Outlook account is by using the Control Panel. By clicking on the Mail icon, you can proceed to Email Accounts and then go ahead with opening a new email account. All the other steps will be identical to the ones outlined above.
6. Very often, you will have to deal with corruption in the local copy of your mails or even orphaned files, because of an accidental deletion of the Exchange account. As an Outlook user, you would do well to keep a copy of a repair tool such as Advanced Exchange Recovery to recover exchange data when all other tools fail.
